Employment Opportunity: Community Outreach Specialist 

Community Foundation for Mason County. 

Reports to: Executive Director 

FLSA status: Part-time, Hourly (20 hours/week) 

General Summary
The Community Outreach Specialist coordinates the development and implementation of marketing and communications activities to promote awareness of the Community Foundation and philanthropy. The Specialist assists the Executive Director in planning and organizing special events and activities as well as producing high-quality content to promote the work of the Community Foundation, including all Community Foundation programs, in print, digital, and social media. Works in collaboration with the Community Foundation team to develop and cultivate donors via special events and publications, in addition to representing the Community Foundation on community work groups and committees. 

The Specialist contributes to decisions that impact the ongoing reputation of the organization and supports strategic planning and implementation.

Principal Duties and Responsibilities

Planning and Coordinating 

  1. Meets regularly with the Muskegon Marketing & Communications Manager to plan and implement communications that represent the voice of philanthropy.
  2. Plans and coordinates various events, specifically those for donor development and cultivation.
  3. Researches, evaluates, and recommends event site selection, vendors, or contractors for events.
  4. Coordinates Community Foundation staff assigned to support donor events and activities by working with program coordinators, currently KickStart to Career and YAC, to effectively coordinate work priorities, schedules, and assignments.
  5. Participates in planning and coordinating general community events.
  6. Attend all Committee and Board Meetings and record minutes.

Marketing and Public Relations 

  1. Develops and produces donor-centric creative concepts and written content for newsletters, brochures, invitations, pamphlets, annual reports, press releases, news stories, fundraising materials, and digital presentations.
  2. Provides grammatical expertise and proofing to ensure the highest level of quality in all published materials.
  3. Assists with Web content creation and implements Community Foundation social media strategy across multiple digital platforms.
  4. Assists in the review and evaluation of materials prepared by other staff to ensure consistency and clarity.
  5. Supports the development of new donors and planning for current donor stewardship.
  6. Represents the Community Foundation on community work groups and committees.

  1. Develops and produces Community Foundation publications using print, digital, and/or social media.
  2. Coordinates with the Muskegon Marketing & Communications Manager to schedule production or printing with outside vendors.
  3. Ensures that all publications are current, accurate, and in adherence with the Community Foundation style guide.
  4. Keeps the Community Foundation website up to date, updating and changing content as necessary.

Information Management Systems 

  1. Adheres to established protocol and standards when entering or updating data.
  2. Documents gifts to the Community Foundation and put them in the mail to Muskegon for
    processing.
  3. Maintain Youth Advisory Council membership database.

Professional Development 

1. Keeps current regarding trends and developments in design, communications technology, Community Foundation marketing and communications, including applicable laws and regulations, through reading of professional literature and attendance at appropriate seminars, conferences, and workshops. 

Knowledge, Skills, and Abilities Required 

  1. Preferred completion of a bachelor’s degree in English/writing or communications/marketing or three to five years of related experience.
  2. Excellent communications skills, both verbal and written, necessary to deal effectively and persuasively with a variety of internal and external contacts. Must be able to effectively represent the Community Foundation to many different audiences.

  1. Proficiency in proofreading and editing as well as ability to meet tight deadlines and prioritize multiple projects.
  2. Familiarity with style guides, particularly Associated Press and the Chicago Manual of Style.
  3. High-level interpersonal skills necessary to work with others, interact effectively and
    courteously with diverse groups and be socially perceptive in contacts with all individuals.
  4. Exercises a high level of thoughtful and insightful judgment within areas of accountability.
  5. Knowledge and skill in utilizing Microsoft Office and Adobe Creative Suite software
    preferred..
  6. Knowledge and skill in executing website management on a WordPress platform.
  7. Ability to handle confidential information in a professional manner.
